Privacy Policy

Nvyte exists to make events run beautifully — and events run on personal information. Names, RSVPs, meal choices, arrival times. We take that responsibility seriously. This policy explains what we collect, why, and the choices you have.
1. Who we are
Nvyte is an event management platform operated by Roman Reed Ltd ("Nvyte", "we", "us"), registered in Kampala, Uganda. We provide digital invitations, RSVP management, seating arrangement, program and meal management, guest access control, and event analytics (together, the "Service").
This policy applies to everyone who interacts with the Service: hosts and organisers who create and manage events, and guests who receive invitations, RSVP, and check in.
2. Information we collect
Information you give us. When you create an account or an event, we collect your name, email address, phone number, and event details (name, date, venue, program). When you contact us, we keep the correspondence.
Guest information provided by hosts. Hosts add guest names and contact details in order to send invitations and manage attendance.
Information guests provide. When a guest responds to an invitation, we collect their RSVP status, plus-one details, meal choice, and any dietary or accessibility needs they choose to share.
Event-day information. When a guest pass is scanned, we record the check-in time, entrance, and the pass used. This powers live arrival lists and post-event reports.
Technical information. Like most online services, we automatically collect limited device and usage data — browser type, pages visited, and approximate location derived from IP address — to keep the Service secure and improve it.
3. Guest data & event hosts
When a host uses Nvyte to manage their event, the host decides what guest information is collected and why. For that information, the host acts as the data controller and Nvyte acts as a data processor — we handle guest data only to deliver the Service on the host's instructions.
- Guests with questions about how their information is used for a specific event should contact the event host first.
- We never sell guest data, use it to advertise to guests, or contact guests about anything other than the event they were invited to.
- Dietary and accessibility information is shown only to the host and their designated team (for example, caterers and ushers) and only for the relevant event.
4. How we use information
We use the information we collect to:
- Deliver invitations and collect RSVPs on behalf of hosts;
- Power seating charts, programs, meal counts, and guest check-in;
- Generate event statistics and post-event reports for hosts;
- Operate, secure, and improve the Service, including preventing fraud and pass duplication;
- Communicate with account holders about their events and the Service;
- Comply with legal obligations.
5. When we share information
We do not sell personal information. We share it only:
- With the event host and their team — RSVPs, meal choices, and check-in records for their event;
- With service providers who help us run the platform (hosting, email and SMS delivery, payment processing), bound by contracts that limit their use of the data;
- For legal reasons, where required by law or to protect the rights, safety, or property of Nvyte, our users, or the public;
- In a business transfer, if Nvyte or Roman Reed Ltd is involved in a merger, acquisition, or sale of assets — we will notify affected users before personal information becomes subject to a different policy.
6. Security
We protect personal information with technical and organisational measures appropriate to the risk, including encryption in transit, access controls, unique non-transferable guest passes, and role-based permissions so that, for example, ushers see only the check-in scanner and not the full guest list.
No online service can guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and the relevant authorities as required by law.
7. Data retention
We keep event data for as long as the host's account is active so hosts can compare performance across events. Hosts can delete an event — including its guest list, RSVPs, and check-in records — at any time from their dashboard. Deleted data is removed from our active systems promptly and from backups within a reasonable period.
We retain limited account and billing records where the law requires it.
8. Your rights
Subject to applicable law, including the Uganda Data Protection and Privacy Act, 2019, you have the right to:
- Access the personal information we hold about you;
- Ask us to correct inaccurate information;
- Ask us to delete your information;
- Object to or restrict certain processing;
- Withdraw consent where processing is based on consent.
Guests can exercise these rights for a specific event through the event host, or by contacting us directly — we will assist the host in responding. Account holders can exercise most of these rights from their dashboard settings.
9. Cookies
We use a small number of cookies and similar technologies: essential cookies to keep you signed in and secure, and analytics cookies to understand how the Service is used so we can improve it. We do not use cookies for third-party advertising. You can control cookies through your browser settings; disabling essential cookies may prevent parts of the Service from working.
10. Children
The Service is intended for use by adults. Hosts may include minors on a guest list (for example, at a family wedding); that information is provided by and controlled by the host. We do not knowingly create accounts for anyone under 18.
11. Changes to this policy
We may update this policy as the Service evolves. If we make material changes, we will notify account holders by email and post the updated policy here with a new "last updated" date. Continued use of the Service after changes take effect means you accept the updated policy.
